PERSONAL DATA PROTECTION POLICY

The «IMPORT EXPORT COMMERCIAL REPRESENTATIVE COMPANY OF ELECTRONIC SYSTEMS AND PROGRAMMS G-LOGIC S.A.» (with the distinctive title «G-LOGIC SA») which will henceforth and for the sake of brevity be referred to as «The Company», has received all the necessary technical and organizational measures, to fully ensure your privacy and the security of your personal data, in accordance with current European and national legislation.

Please take a moment to read the Privacy Policy (hereinafter «Policy») and learn about the way in which the Company, acting as Processor Manager, collects, uses, and generally processes your personal data when you visit, you register or use the Company’s website as well as when you meet and transact at the Company’s offices, whose headquarters are in 33 Alexandrou Pantou str., in Kallithea.

This Policy also describes how we use, disclose, and protect your personal data, the choices you have regarding your personal data, and how you can contact us.

This Policy concerns all your personal data processed by the Company during the provision of its services to you. It is recorded and analyzed: the type of personal data processed by the Company, the legal basis of the processing, the period of data retention, the recipients of the personal data as well as the technical and organizational measures taken by the company to guarantee its privacy security.

 

What is personal data?

The term “personal data” refers to information such as: name, postal address, e-mail adress, contact telephone number, IBAN/No Account etc., which identify or can identify you, herein after «Privacy or Data».

 

Data we process

The Company collects your Personal Data during communication either by telephone or through electronic communication or even during your visit to the Company’s offices. In particular, the Company collects the following information and Personal Data:

  • First and last name, patronymic, metronymic
  • Email, phone and mobile contact phone number
  • Information for concluding contracts and for payments/payments of amounts: IBAN, VAT Number, Tax Office, profession, copy of ID
  • Address information
  • Your image may be recorded on CCTV when you visit our offices
  • Your comments and reviews on social media and the rest of the web
  • Educational information, such as studies, skills, knowledge of foreign languages, professional experience (only in case where you apply for a job)

We comply with the law and do not allow the processing of Data of children under the age of without written parental consent.

The processing of your above Data is carried out exclusively to ensure the correct execution and provision of its services to you, by the Company, as well as for the conclusion of private agreements or contracts of sale, and for the issuance of the corresponding documents (receipt). If you wish, we process and store your contact information for promotional purposes only, so as we can send you information about our promotional actions.

In case you visit our offices, we collect the Data related to your easy service and exclusively for this purpose (name and surname). In addition, in the context of the current coronavirus pandemic, you may be asked for a vaccination or Rapid Test certificate upon entering the Company’s offices.

Finally, we inform you that the processing of your Data is carried out either by the specially authorized staff of the Company and exceptionally by third parties, who, having contractually committed to maintain confidentiality and protecting your Data, carry out work necessary to achieve the purpose strictly related to the use of our website and the provision of our services to you. Lawful basis for processing your data

G-Logic SA processes your basic Personal Data exclusively and only for the correct and legal provision of its services to you as well as for your easy service. Therefore, the expression of your interest and the provision of services to you in accordance with the purposes of our Company constitutes the legal basis for the processing of your Data. Also, a legal basis for the processing of your Data may be your application for the evaluation af applications and CVs for the purpose of recruitment to our Company.

In particular, the basis for data processing is:

  • Data protection law sets out various reasons why a company may collect and process your personal data, including: the terms of our contractual relationship.
  • Your consent, where required. For example, when you choose to receive newsletters. When collecting your personal data, we will always inform you which data is necessary in relation to a particular service. 
  • The Company’s obligations stemming from the law (e.g., tax legislation, e-commerce legislation, etc.).
  • The legitimate interest of our Company. In certain cases, we collect your Data in a way that is reasonably expected to be part of the operation of our Company and that does not materially affect your rights, freedom, or interests.
 
 

Period of retention of your data

We retain your personal data for as long as the purposes for which it was collected and stated above remain in force.

Our Company may retain your Personal Data even after the collection and processing purposes have been fulfilled in the following limiting cases:

  1. If it is our legal obligation by a relevant provision of the law.
  2. For use before tax and social security authorities as well as any other auditing authority within the legal limitation period. 
  3. As long as it is required for our company’s organization and operation (e.g., for statistical purposes) provided that your Data is anonymized and pseudonymized. 
  4. Until the limitation of relevant claims for the defense of the rihths and legal interests of the company before any competent Court and other public authority. 

It is noted that, after the end of the retention period, your personal data is destroyed from our files and system in compliance with our Company Policy and provided that its retention is no longer required to fulfill the purposes we described above. 

Recipients of your personal data

To serve the processing purposes mentioned in this Policy, our Company may provide access to or transmit the following types of your Personal Data to the following processors on its behalf:

  • Name/Surname, address information and contact phone number to associate partner courier companies and post offices.
  • Your Personal Data to the company’s web hosting service provider and software maintenance and support.
  • Your financial Data to the credit institution with which we cooperate to process payments, to and from your bank and credit card accounts, during the purchase and sale.
  • Your Personal Data to accountants, lawyers, and notaries in the context of performing their services to our Company or to auditors in the event of an audit.
  • The evaluation of applications and resumes for the purpose of recruitment to our Company. 
  • Access to your Data is given to the necessary personnel of the Company, who are bound by confidentiality, and the companies cooperating with us of third-party service providers, who process your Data as Processors on our behalf and in accordance with our orders.

The processing of your personal Data by the above cooperating parties is always carried out under our control and only on our instructions and is subject to the same data protection polixy or a policy at least the same level of protection.

 If is required by court or other administrative authority, as well as in any other case where it has a legal obligation to do so, our Company may provide your Personal Data to the extent provided by law, after informing you. 

It is clarified that the Company bears no responsibility for the management of your Personal Data by third parties.

However, for the maximum assurance that your Data will not be leaked even by the third-party collaborators (executing the processing), the Company provides the guarantee regarding the third parties that:

  • Maintain confidentiality.
  • They do not send your Data to third parties without the Company’s permission.
  • They comply with the legal framework for the protection of personal data and in particular Regulation 979/2016/EU (otherwise known as GDPR).

Security of your data

Keeping your Personal Data secure is our Company’s priority. Our Company has taken and implemented a series of measures to keep your Personal Data safe and protected. These measures on a case-by-case basis include role-based access control as well as encryption or other technical and organizational measures.

We inform you that you have the right to :

Access to your data:

means that you have the right to be informed if we are processing your Data. In this case, you can ask to be informed about the purpose of the processing, the type of your Data that we keep, to whom we give it, how long we store it, whether automated decision-making takes place, but also about your other rights, such as correction, deletion of Data, restriction of processing and filing a complaint with the Personal Data Protection Authority.

Correction of your Data in case of inaccuracy: 

you find that there is an error in your Data, you can submit a request to us to correct it (e.g. correct a name or update a change of address or other information). 

Deletion of your Data in specific cases/ right to be forgotten: 

You can ask us to delete your Data if it is no longer necessary for processing purposes or you wish to withdraw  your consent if this is the only legal basis. 

Restriction of the processing of your Data:

You can ask us to restrict the processing of your Data pending the consideration of your objections to the processing. 

Object to the processing of your Data:  

You can object to the processing of your Data, and we will stop processing your right. If you have given your consent to the collection, processing and use of your Personal Data, you can withdraw your consent at any time with future effect. 

Transfer of your Data to another controller (portability): 

You can ask us to receive the Data you have provided in readable form or ask us to pass it on to another controller. 

Complaint to the Personal Data Protection Authority in the event of an accidental brach of your Data: Our Company will respond to your requests immediately, or within one month of receiving them. Exceptionally this deadline can be extended by 2 more months, if your requests are complex of further time is required due to many requests.

If your requests do not meet the requirements of the law, our Company reserves the right to either impose the payment of a reasonable fee taking into account the administrative costs of providing the information or notice or performing the requested action or refuse to proceed with the related request. 

Remember, if you choose not to share Data with us or decline certain communication rights, we may not be able to provide some services you have requested. For example, if you have even asked us by e-mail to inform you about the availability of a property, we cannot serve you if you have withdrawn your general consent to receive updates from us.

In case of a breach of your personal data, which may put your rights and freedom at high risk and if it does not fall under one of the exceptions expressly provided by law, we undertake to inform you without undue delay. 

However, if there are doubts about the identity of the person making the request, we reserve the right to request the provision of additional information necessary to confirm his identity.
